Front Desk Receptionist

Position Overview

Dischell Bartle Dooley is seeking a highly organized and detail-oriented Front Desk Receptionist. This is a full-time position (37.5 hours per week), Monday through Friday, 8:30 a.m. to 5:00 p.m., at our Montgomery County office.

The Front Desk Receptionist reports directly to the Office Manager and serves as the face of the firm, ensuring smooth daily operations while delivering exceptional client service.

Principal Duties

  • Manage all incoming calls; screen and direct calls to the appropriate person; take and deliver messages as needed.

  • Greet all clients and guests upon arrival and promptly notify the appropriate attorney or legal assistant. It is important to remain at the front desk to ensure clients are not kept waiting.

  • Receive, sort, and distribute incoming mail and deliveries; stamp outgoing mail; prepare mail for pickup or delivery; and drop mail at the Lansdale Post Office as needed.

  • Open new matters in ProLaw; create and maintain file folders for each matter; update files as requested; maintain and distribute the monthly File Opening List.

  • Process credit card payments while maintaining strict confidentiality of client information.

  • Monitor inventory of office, kitchen, cleaning, and stationery supplies; place orders; receive shipments; and restock supplies as needed.

  • Schedule couriers as required.

  • Open and close the office daily; maintain the appearance of the reception area, conference rooms, kitchen, and other common areas; water plants; and restock promotional materials in the lobby.

  • Collaborate effectively with attorneys, legal assistants, paralegals, support staff, and firm administration to support firm operations, including but not limited to the responsibilities listed above.

Requirements

  • Courteous, patient, and articulate with a professional demeanor.

  • Highly organized and detail-oriented, with the ability to prioritize and multitask in a fast-paced environment.

  • Proficient in Microsoft Outlook, Word, and Excel; ProLaw experience is a plus.

  • Previous law firm experience preferred.
